Utilizing the Dynamics GP PSTL Part V: Inventory Tools

This is Part V from my previous blogs on utilizing the Dynamics GP PSTL.  The four previous blogs addressed the System, Financial, Purchasing, and Sales sections of the PSTL.

In this blog, I wanted to discuss the nine Sales tools listed under the Inventory Tools grid:  Inventory Site Combiner, Inventory Site Modifier, Item Description Modifier, Item Number Combiner, Item Number Modifier, and Item Reconcile.

To access the PSTL tools, the tools must be installed for Dynamics GP and a shortcut created on the Navigation pane of the Dynamics GP desktop.  The PSTL software is located on the Dynamics GP installation disk.

PSTL Inventory

Inventory Tools: When running any PSTL tool, always remember to make a backup before performing the action.

Item Description Modifier, Item Number Combiner, Item Number Modifier, and Item Reconcile.

Inventory Site Combiner

This tool enables the user to combine Sites and Location codes together.  This tool affects all open and historical data.

To combine Inventory Sites:

  • Start the PSTL function in Dynamics GP
  • Select the Inventory Site Combiner option
  • Click Next
  • Enter Starting Site ID to combine and remove
  • Enter the Site to combine into
  • Click Convert
  • Click OK

To combine a range of Site IDs via a spreadsheet:

  • Create a spreadsheet
    • Enter existing Site ID to combine and replace in the first column
    • Enter the Site ID to combine into in the second column
    • Save as a text file
  • Start the PSTL function in Dynamics GP
  • Select the Inventory Site Combiner option
  • Click Next
  • Select the Import option
  • Select the Validate button
  • Select the spreadsheet text file
  • Select Open
  • If no errors, Select the Modify button
  • Select the spreadsheet text file

Inventory Site Modifier

This tool enables the user to change the Site Code for an existing Site.

To Modify the Site ID:

  • Start the PSTL function in Dynamics GP
  • Select the Inventory Site Modifier option
  • Click Next
  • Enter Site ID to change and remove in the Starting Site ID
  • Enter the New Site ID in the New Site ID field
  • Click Convert
  • Click OK

To update a range of Site IDs via a spreadsheet:

  • Create a spreadsheet
    • Enter existing Site ID in the first column
    • Enter the new Site ID in the second column
    • Save as a text file
  • Start the PSTL function in Dynamics GP
  • Select the Site Id Modifier option
  • Click Next
  • Select the Import option
  • Select the Validate button
  • Select the spreadsheet text file
  • Select Open
  • If no errors, Select the Modify button
  • Select the spreadsheet text fill

Item Description Modifier

This tool enables the user to change the Item Description for an existing Item.

To Modify the Item Description ID:

  • Start the PSTL function in Dynamics GP
  • Select the Item Description Modifier option
  • Click Next
  • Enter Item Number to change the name for
  • Enter the New Description in the End Item Description field
  • Click Convert
  • Click OK

To update a range of Item Descriptions via a spreadsheet:

  • Create a spreadsheet
    • Enter existing Item Number in the first column
    • Enter the new Item Description in the second column
    • Save as a text file
  • Start the PSTL function in Dynamics GP
  • Select the Item Description Modifier option
  • Click Next
  • Select the Import option
  • Select the Validate button
  • Select the spreadsheet text file
  • Select Open
  • If no errors, Select the Modify button
  • Select the spreadsheet text file

Item Number Combiner

This tool enables the user to Combine items together and their histories.

To Combine Item Numbers information:

  • Start the PSTL function in Dynamics GP
  • Select the Item Number Combiner option
  • Click Next
  • Enter Item Number to combine and remove
  • Enter the New Item Number to combine into
  • Click Convert
  • Click OK

To combine a range of Item Numbers via a spreadsheet:

  • Create a spreadsheet
    • Enter existing Item Number in the first column
    • Enter the new Item Number to combine into in the second column
    • Save as a text file
  • Start the PSTL function in Dynamics GP
  • Select the Item Number Combiner option
  • Click Next
  • Select the Import option
  • Select the Validate button
  • Select the spreadsheet text file
  • Select Open
  • If no errors, Select the Modify button
  • Select the spreadsheet text file

Item Number Modifier

This tool enables the user to Modify item numbers and their histories.

To modify Item Numbers information:

  • Start the PSTL function in Dynamics GP
  • Select the Item Number Modifier option
  • Click Next
  • Enter Item Number to modify
  • Enter the New Item Number
  • Click Convert
  • Click OK

To modify a range of Item Numbers via a spreadsheet:

  • Create a spreadsheet
    • Enter existing Item Number in first column
    • Enter the new Item Number in the second column
    • Save as a text file
  • Start the PSTL function in Dynamics GP
  • Select the Item Number Modifier option
  • Click Next
  • Select the Import option
  • Select the Validate button
  • Select the spreadsheet text file
  • Select Open
  • If no errors, Select the Modify button
  • Select the spreadsheet text file

Item Reconcile

This tool enables the user to reconcile inventory.

To reconcile inventory

  • Start the PSTL function in Dynamics GP
  • Select the Item Reconcile option
  • Click Next
  • Select the module to reconcile
  • Click Reconcile
