The Importance Upgrading

We often say that accounting systems are “sticky”. Once you find one that works for your business you feel locked in because of:
1. The cost.
2. The fact that you need it up and running every single day so that your business can function efficiently.
The problem is that most organizations are constantly evolving and changing and re-evaluating their needs. You may now need functionality that was not initially needed when you implemented the system. How do you rectify this without starting from scratch with a new system? It’s actually quite simple; you upgrade your current system.

The majority of accounting systems have new version releases every few years. We’ll use Microsoft Dynamics as an example. Dynamics GP is now on version 2015. There is so much more functionality that came about in this release and in the previous version 2013 as well. There is a new licensing model that gives users access to modules they previously would have had to purchase and there are major functional changes as well, like the GP web client. There are also several small functional changes that make a world of difference to end users. For instance, when GP 2013 was released the most exciting feature was being able to select a printer for a report after it has printed to the screen output. GP users from around the globe cheered in rejoice! Upgrading will give you new features, code/ bug fixes, and UI changes that will make you feel like you have the most cutting edge system out there without breaking the bank or sucking time like a new implementation would.
Let’s look at upgrading from a different perspective. How often do you update your smart phone? It seems like there is a new system update out there every week. In today’s technology driven world it’s important to stay current. The second you buy an electronic device, the actual device is already out of date, since they are being produced so rapidly. The real value is the software. That is the engine of the phone, all the cool features and the actual technology. Accounting systems work the same way, you have to upgrade to get the new features and latest technology.
Businesses are constantly changing and adapting, they have to in order to stay competitive and relevant. Every time you evaluate your business you have to evaluate your accounting system along with it, since it is the back bone of your organization. Stay current and take advantage of the latest features and improvements. In the long run, an upgrade of your accounting system in an upgrade of your business!
